To access your account, you must first provide a username and password. Authentication means identifying a user and verifying that this user is allowed to access the CoreCOI Platform.

Check the Remember me box to have the browser remember your login details for one month. You will have to enter your login credentials again after you log out or clear your browser cookies.

To access the Projects, simply navigate to Project Tab.

You will then be presented with the Projects Overview. This page lists all projects by default, in ascending order of due date, so those due first will appear at the top, listing the title, completion progress, status, creation & due dates, and the View Details button for the project.

From this page you can also view overall statistics for the project, like: Total Projects, Active Projects, Pending Projects and Completed Projects that are displayed at the top of the page, and search for projects which we’ll look at in more detail later on.

Everything within the CoreCOI Management system starts out with a project. Requests, Trades, Certificates, Attachments, all must belong to a project. So let’s get started with creating a project…

Creating a Project

  1. Click the +Add New Project button (found at the top right of the screen)
  2. A dialog window will then slide into view, where you will find fields for entering the title of the project, the creation date, due date, project managers, additional insured, uploaded files and more.
  3. Once you are done, click Create Project
  4. You will now be taken to the Project overview screen, and congratulations, you just created your first project!

Editing a Project

To edit projects, providing you have the required permissions, you’ll see an Edit button located towards the top right of the screen. Upon clicking that, the previous display values will be transformed into input fields allowing you to update and make changes, and the edit button will be replaced with Save and Cancel buttons that you can use to save your changes, or abort. If saving, a success message will appear briefly to confirm success.

The Project Manager field features an intelligent search feature, so you can search for a client to assign to by entering any part of their name, company or email address, and simply select the desired result from the list of matches that get displayed.

Searching and Flitering Projects

Accessible on the top bar from every page within the particular tab is the filter shortcuts. These allow you to filter the projects list in the following ways:

  • Active – View all active projects
  • Pending – View the projects that are marked as pending
  • Completed – View all completed projects
  • Start Date – View all projects that start from the date you pick
  • End Date -View all projects that end from the date you pick
  • Searching – View just the completed projects

The subcontractor page includes all the data about the subcontractors on CoreCOI platform. You can see two main tabs on top of the page, first tab “My subs” lists all of the subcontractors that you added as companies that will work on your projects and the second tab “Other” lists subcontractors that already have an account on the platform. You can add subcontractor from “Other” tab on your list of subcontractors. They will receive an email that you want them to work on your projects and send request for COIs.

Invite subcontractors 

If you want to invite a subcontractor in the CoreCOI platform, click the Add Subcontractor button on the top right corner of the screen. Fill in the fields required and click Send Invite. Subcontractors will receive an email with instructions on how to set up their account. After they are done setting up the account, you will be able to send the COI requests.

If the subcontractor that you want to invite already exists in the platform, you will get a message letting you know that you can not invite the same user twice, but you can add that company on your list of subcontractors.

Subcontractor Details

On this page you get a more detailed view on the subcontractor data, certificates uploaded, contact persons, contact information and more. Also there is a Compliancy Score that is calculated from the COIs they upload over the time and how many of the COIs are compliant.

You are also able to send a request for a COI directly from this page by clicking on the Request COI button that is located on the top right of the page.

To access the Project Trades you’ll need to click in one of the Projects details. Trades are shown in a separate tab and are listed on the left panel of the page. Every trade is linked to a project and has its own insurance requirements, subcontractors and certificates that are uploaded from the subcontractors.

Add a new trade

Adding a new trade is really easy and quick if you already have added some requirement templates. We will talk about these templates later on and learn how to add one. Click on Add new trade button that is located on the top right corner of the screen, next to the Edit Project. If you don’t have a template ready, you can fill in all the requirement fields needed on all the tabs until you reach the submit button which creates a new trade on the project.

This page will show all the certificates added from subcontractors. On top of the page you can see total numbers for uploaded, compliant, non-compliant and in review certificates. The table of certificates can be filtered by the status of the COI and from the date it was uploaded. You are also able to request a new COI directly from this page.

Clicking in one of the certificates will open the details page of that particular certificate. In this page depending on the status of the COI you can review it, approve and download the pdf version of COI. Also, you can see all of the data extracted from the COI like: Holders, Insured, Producer and so on. Categories of the COI are shown in separate cards and if the certificate is not compliant with the requirement you set on the trade of the project, our algorithm will flag these errors and change the status to Non-Compliant and mark the fields with a red color.

Our dynamic dashboard shows all the Total Certificates tracked, compliant, non-compliant, requests and other related scores. All these data can be filtered by date. Other stats and charts are a constant monitor of the total Certificates added over the picked period of time, Certificate compliancy percentage with date filters, Active Jobs and details, Projects Overview that shows all the projects that are Active, Pending and Completed. The CoreCOI Compliance Dashboard provides each user a customized real time view of any and all compliance data where you can retrieve the needed information with full search capabilities and actual document imagery.

User profile contains all the information linked to your account like your role, company name, address, email and phone number. If you want to change your profile picture or your name, click on the edit pencil icons near the image and the name. If you want to log out or reset your password, please click on the three dots menu in the right of the screen to see a drop down menu with these options.

In-app notifications are messages delivered to a user within the app while the user is active in the app, but if the user is not logged in, the notification will be sent as an email. Notifications on CoreCOI show the type, the date and documents or links attached. A new notification will trigger a change on the icon on the top sidebar so you are notified when there’s activity on the COI statuses or when a COI is updated from your subcontractors.

Notifications are separated into groups that are used as filters to sort the notifications. Each of the group has it’s own icon and color so it’s easier to detect what kind of notifications are in your inbox.

9.Request COI

Requesting a COI is really easy, just choose the project, trade and subcontractor you want to send the request to and everything else is handled by the system. The subcontractor will be notified and will get a link to upload the certificate.

In case you can’t find the trade or subcontractor you are looking for, you can add it from here and continue with the process. Additional requests and comment can be added as well.

Requirement documents and other samples you add to the project will be automatically attached to the request.

10.Requirement Templates

Requirement templates are a way to add trades quicker and easier. By creating a template of the requirements, you can add multiple trades with the same insurance requirements without having to manually write every value.

You can find, manage and add a new requirement template by going to Settings > Requirement Tenplates.

Adding a template is pretty easy too, just click on +Create new template , choose a name and fill in the required fields.

From the settings tab you can manage, add and disable users, turn on or off the notifications, access the documentation of the platform and more.

Email notifications: You can toggle this setting on or off to either stop receiving emails from CoreCOI or enable these emails on your account.
Requirement Templates: You can access requirement templates from this setting.

This section is used from the General Contractor or the Subcontractor to manage the users in the company. You can add new users by clicking on the Add User button and filling the fields required. If you want to disable a user you should click in the edit pencil icon on the right of the contact.
